Duties & Responsibilities
Reporting to the Manager, Executive Assistant Corporate Services, the incumbent will support the IBC’s Legal department and might support other departments as required
This support includes but is not limited to:
Manage/maintain the schedule of the Vice-President, Legal ensuring it is up to date, ensuring sufficient time in between meetings for prep/travel if necessary
Document management (ensuring that the executive is prepared for meetings by gathering materials required)
Preparing presentations/reports as required
Create/maintain a document filing system for easy reference to include reports, meeting notes, emails and letters in a central repository
Planning/scheduling various Committee meetings including preparation of materials
Ensure that correspondence being sent external/internal follows IBC standard branding/templates
Process invoices for Legal department
Maintain a high degree of discretion and confidentiality
Must be confident in ability to take lead and make decisions within scope
Strong ability to plan/prioritize work, anticipate and adapt to different needs
Adhere to IBC policies and procedures
Maintain a professional and courteous relationship with all levels of external/internal stakeholders
Qualifications:
Minimum 5 years as an Executive Assistant to a senior officer preferably in a Legal Department
Diploma in Business Administration or Legal Assistant highly preferred
Experience with preparing agendas, taking minutes, making arrangements for committee, board and other meetings
Excellent oral and written communication skills in English; French is an asset
High level of tact and diplomacy in dealing with confidential issues and high-level executives
Demonstrated advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint)
Excellent time management skills
Effective problem-solving, critical thinking, networking and interpersonal skills
Ability to multi-task under pressure and without supervision
